Aspro Workforce User Guide

Use this guide to train admins, supervisors, and employees on time tracking, payroll periods, timesheets, reports, and dashboard shortcuts.

1. Getting Started

Open the dashboard, sign in with your assigned email and password, then use the sidebar to move between Dashboard, Time Logs, Timesheet, Reports, and Admin Console.

  • Admin: Full access to employees, projects, locations, reports, approvals, and settings.
  • Supervisor: Review operations, approve or reject time logs, manage projects, locations, assignments, and reports.
  • Employee: Add time entries, edit own entries, view history, and preview payroll hours.

2. Save As Shortcut

On the login page, click Save as shortcut to install the dashboard like an app.

  • Laptop/Desktop: Accept the install prompt, or use the browser menu and choose Install app, Create shortcut, or Save page as app.
  • Android: Use Add to Home screen or Install app from the browser menu.
  • iPhone/iPad: Tap Share, then Add to Home Screen.

This works best on the live HTTPS website.

3. Dashboard Tour

The dashboard gives a quick view of payroll period hours, active projects, pending reviews, recent activity, and project productivity.

  • Admins and supervisors see team-wide totals and pending submissions.
  • Employees see their payroll hours, entry count, approved entries, and submitted entries.
  • Use Add Time Entry to quickly log a new shift.

4. Time Tracking

Use Time Logs to add one separate entry for every project/location shift.

  • Enter work date, start time, end time, break minutes, project, location, and notes.
  • Total hours are calculated automatically after break deduction.
  • The system prevents overlapping shifts for the same employee.
  • Employees can work at multiple locations in one day by creating multiple entries.

5. Timesheet Preview

The Timesheet page works like an Excel-style preview. It shows each employee by day, total hours, locations worked, projects worked, shift details, and status.

  • Filter by date range.
  • Admins and supervisors can filter by employee.
  • Export CSV for spreadsheet use.
  • Print or save the page as PDF.

6. Reports

Reports are used for payroll, project review, and location productivity.

  • Filter by date, employee, project, and location.
  • Review total hours and estimated payroll.
  • See employee summaries, project-wise hours, location-wise hours, and detailed timesheet rows.
  • Export CSV, Excel-compatible file, print, or save PDF.

7. Admin Console

The Admin Console controls the operational data used throughout the dashboard.

  • Employees: Add staff, set roles, hourly rates, job titles, and active status.
  • Projects: Add project names, codes, descriptions, locations, and active status.
  • Locations: Add client work sites, client names, and addresses.
  • Assignments: Assign projects to employees or remove assignments.

8. Recommended Workflows

Employee Daily Workflow

  1. Open the dashboard shortcut or login page.
  2. Go to Time Logs.
  3. Add one entry for each location/project shift.
  4. Confirm calculated hours.
  5. Save the entry.
  6. Use Timesheet Preview to review payroll-period totals.

Manager Review Workflow

  1. Open Dashboard to check pending entries.
  2. Go to Time Logs and filter entries.
  3. Approve accurate entries or reject incorrect ones.
  4. Open Reports for payroll totals.
  5. Export CSV/Excel or print PDF.
